Bookkeeper & Administrative Assistant

Gunter & Co, an established design studio with a team of twenty, are currently offering an outstanding opportunity for a Bookkeeper-Admin assistant to join its team in London for a full time role/ part-time, with a minimum of 30hrs weekly (exact working hours and days can be discussed during the job interview)

You will be working from our Battersea studio a minimum of 4 days a week.

Job summary

We are looking for a skilled and meticulous Bookkeeper & Administrative Assistant to serve as the cornerstone of our financial operations and provide essential administrative support. The primary focus of this role is to manage all bookkeeping and financial administration tasks accurately and efficiently. The ideal candidate will be a detail-oriented professional with a strong financial background who can also handle various operational and administrative duties to ensure the smooth running of our office.

Key responsibilities

1. Financial Administration & Bookkeeping

  • Bookkeeping: Maintain meticulous financial records, including managing accounts payable and receivable.

  • Reconciliation: Perform bank and credit card reconciliations on a regular basis.

  • Reporting: Prepare financial reports, including profit & loss statements and expense summaries, for review by the directors.

  • Expense Management: Process and track employee expense reports, ensuring accuracy and adherence to company policy.

  • Invoice Processing: Generate invoices, track payments, and follow up on outstanding accounts.

2. Financial Administration & Bookkeeping

  • Diary Management: Proactively manage and maintain directors' calendars, scheduling internal and external meetings and appointments.

  • Travel & Logistics: Arrange all travel logistics, including flights, accommodation, and ground transportation. Handle bookings for restaurants and client meetings.

  • Meeting Preparation: Prepare meeting rooms, ensuring all necessary equipment and materials are organized and ready.

  • General Administration: Handle all office supply needs.

  • Operational Logistics: Arrange for couriers, book taxi’s, and coordinate the delivery of products and samples.

  • Meeting guests and general reception duties, answering the studio phone and door, assisting with the organisation of and preparing studio spaces for both client and internal meetings, CPDs, socials, cultural programming and external events.

  • Meeting and distributing deliveries and post.

  • Managing the organisation of the book and sample libraries, archives, digital libraries and models.

  • Organising and co-ordinating office facilities and IT.

  • Managing orders for studio suppliers such as kitchen and stationery.

  • Running errands.

  • Helping to organise the kitchen and other communal staff spaces.

  • Basic-level IT skills are required.

Skills & Qualifications

  • Proven experience as a bookkeeper or in a financial administration role is essential.

  • Experience with bookkeeping software (e.g., QuickBooks, Xero) and a strong understanding of financial principles.

  • Exceptional attention to detail and a high level of accuracy.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

Salary expectation: £30,000.00
